How many tools do we use to communicate?

Managing a team is easier today than ever before thanks to the availability of communication tools. Communicating with our teams and our senior leadership is faster and more streamlined.

However, now every people manager has to juggle multiple methods of contact. Too many, maybe. This raises the question: How many communication applications do you think you use over the course of any given day?

If you want to talk with someone immediately, you’ll pick up the phone. Maybe you’ll leave a voicemail if they don’t answer.

What happens if you need to speak with that person urgently? You might decide to send an SMS text. You pick your mobile phone, tap out a text message, and send it off. The only problem is that there’s no guarantee your text will be read right away. What happens if you don’t receive a response to your text within a few minutes?

You may opt to send an email. That means you pull up your email client, perhaps on your phone, maybe on your computer, and you compose an email. You add tracking to it so you receive a message when the email is opened by the recipient.

But maybe they’re a heavy social media user. So maybe you ping them on Facebook or Twitter. When you count social media, live chat and messaging, along with every other digital communication tool you use, how many do you juggle every day? Five? Maybe ten?

Digital technologies have made life easier and contact faster, but when systems suffer from lack of integration, it also creates inefficiencies which makes a manager’s life hell.

Communications are booming, and so are inefficiencies. Here are some numbers that tell the story.

Statista tells us that by 2021, the number of sent emails per day is expected to reach 319.6 messages per person. That equates to 320 billion daily emails being sent around the world.

Alex Cocotas, for Business Insider, writes that in the United States, people in the 25-34 age demographic will send and receive over 2,022 texts in a single month. People in the 35-44 age demographic will send and receive over 1,500 texts in a month.

Leaders spend up to 80% of their workdays communicating with others. A significant portion of that time is spent managing these various platforms and then waiting for a response. According to Noah Zandan of Quantified Communications, in the average business with 100 employees, that equates to an annual cost of $525,000 because the process of communication is inefficient. Zandan also writes that this same business will spend 17 hours per week clarifying information that has already been communicated.

Most companies focus on the customer. They embark on a journey that leads each prospect through a sales funnel that ends with a conversion. We use numerous tools to make that journey as effortless as possible.

Similarly, we should aim to make communications and information access as effortless as possible for our leaders as they manage their teams. By equipping leaders with the right tools and providing appropriate training on them, we can maximize communication efficiency.
